Safety, privacy and permission

What families see, what each person agrees to and what your office controls.

Lobbypie answers are for education only, not medical, legal, financial or other professional advice. Visitors ask each place’s own team about their own situation.

For families

No child account or name. The office page does not use the microphone, camera or location.

For each staff member

Every person gives their own permission. Portrait and Custom voice decisions are separate, and a manager cannot consent for them. Each person appears with their own photo, a drawn avatar made from their photo and approved by your office, or an avatar from our collection.

For the office

Pick from our library for your kind of place, have us draft answers from your website, or write your own. Read, listen to and approve every answer before sharing it.

About the voices

A voice from our collection is included. A Custom voice reads your answers in a staff member’s own voice, with their permission: included with Plus for each staff member, and an add-on on Starter. Not offered in TX or IL.

Policies and details

Our notices, policy and terms, in plain words. Each one says exactly what Lobbypie does today.

Visitor privacy and links

What happens when a child taps

  • No app, no sign-in

It is an ordinary web page. There is nothing to download and no account for a child or a parent.

  • Never asks a name

There is no name or free-text box. Kids tap a face, choose Kids, then pick a question.

  • No microphone or camera

Kids only tap. The page tells the phone’s browser it may not use the microphone, the camera or location.

  • A Kids or Adults choice, never a profile

Choosing Kids or Adults is not saved as a visitor profile. A lobby tablet starts over after a while with no taps.

  • No ads, links for grown-ups only

There are no ads. On an office’s page, the only links are a privacy notice and our terms, both for grown-ups, and each opens in a separate tab. Our made-up sample office adds one more link, for businesses that want a page of their own.

  • One address for every family

The sign’s QR code, your office’s link and your website codes open the same web address for everyone. Nothing in it ties a visit to a patient or family.

  • The internet address

Like every website, our servers see a phone’s internet address to send the page. We use it only for that and to keep the service secure, never to recognize anyone.

Signs, links and phones

How families open the page

Visitors open Lobbypie on their own phones from a sign or your office’s link. They tap a familiar face, choose Kids or Adults and explore the questions.

  1. Scan the sign or tap the link

The QR code on your sign and the link in your reminder open the same address.

  2. It opens in the browser

Nothing to download and nothing to sign in to. The page opens like any other website.

  3. Tap a face, then choose

Tapping a team member opens a Kids or Adults choice, then everyone picks a question.

Reminders come from your office. Your office sends any reminder text or email from its own system, with the same plain link. Lobbypie never receives patient names, phone numbers or appointment details.

Portraits, voices and consent

Included

A voice from our collection

Made from a written description, like warm, calm and clear. It belongs to no one and copies no one, so nobody records anything.

Included with Plus

Custom voice

Your answers in a staff member’s own voice. Each person gives permission, records a short script on their private link, listens back and approves it. Their voice is used only for the office, audiences and languages they permit. Included with Plus for each staff member, at no extra charge. On Starter, $29/month + $299 setup fee, per person, or on an annual plan $29/month billed yearly, with no setup fee. Not offered in TX or IL.

What the page says next to their portraitMs. Jordan’s own voice

Photos and avatars. Each person chooses how they appear, on their own link: their own photo, shown as it is, a custom avatar approved by you, based on a photo they add on their own link or one your office sent, or an avatar from our collection. The sample office in our demo uses made-up people and voices from our collection.

Content checks and office responsibilities

Checked before it plays

  1. Written for the audience

Kids get explanations written for children. Adult topics get separate plain-language content. A topic can be for kids, adults or both.

  2. Drafts stay off your page

Drafts and answers waiting for your approval do not appear on visitor pages.

  3. One switch for your office

Make your whole page live or take it offline from your private office link. When it is off, visitors see your office’s name and a message to check back soon.

  4. From your website, in your words

Questions only your office can answer are drafted from your own website’s pages, or use the words you give us, and you edit and approve each one. We never guess on your behalf. An answer we draft from your website is written from a passage on one of its pages, which we show you beside it. We keep it only when that page holds the passage, and your office checks that the page is current.

  5. Fact checked, then approved by you

Library answers pass our automated fact check against trusted sources. Your office approves every answer before it plays. An answer plays only in a language that is ready for that office. Requesting a language does not make unfinished content available. Videos on Plus are made from answers you approved, and each one plays only after you approve it. You can hide any of them. In your page’s other languages, our translations of the answers you approved go up once each passes our translation check, and you can hide a language at any time.

For education only, not medical advice, diagnosis, treatment or emergency help. Ask a qualified health professional about your care. Your office must review and approve each answer, and listen to its audio, before sharing it. One approval covers every recording of the same words, and our translations of them once each passes our translation check.

The lines we do not cross

  • We never sell information

We never sell or rent anything about families, offices or the people on your page.

  • No ads

There are no ads on the office page, and no one pays to appear in an answer.

  • No links for each patient or family

Every family gets the same page from the same sign and link. We never make personal links or lists that tie a visit to a child.

  • We never take patient or family information

We never ask for it and never message families. If it reaches us by mistake, we delete it. Orders and messages are for business and team details only.

  • Faces and voices stay on your page

A person’s portrait and voice appear only on your office’s pages, at the locations their permission covers, including when one is shown inside your office’s own website. New permission covers every location of your office, including any it adds later. A portrait also appears on the printed signs we make for your office. Never for another office, and never in our own marketing.

  • A voice is never passed off as someone’s own

A voice from our collection can say hello with a person’s name and role, but the office page says it is not their recording. Only a Custom voice, made from the person’s own recording, is labelled as theirs.

  • A Custom voice reads only the languages its person agreed to

The permission each person signs for their Custom voice names its languages: every language your office’s page offers, including languages added later. Another voice requires an explicit choice; it is never substituted silently.

IT and privacy review

What your IT and privacy teams ask

The companies that help us

Listed here exactly as our privacy notice lists them. Each one handles information only to do its work for us.

  • Our cloud hosting provider: our servers, private file storage, email sending, content delivery, including our own content delivery network at cdn.lobbypie.com, and the database that keeps our analytics records. For Plus videos, it also runs a language model made by another company, which writes each video’s animation from the answer, its question and the name and role of the person who reads it. That work can run in its regions outside the United States.
  • Our database provider: our database, hosted by our cloud hosting provider.
  • Our image and language model provider: draws each custom avatar from that person’s headshot (never for a person who appears with an avatar from our collection), reads the public pages of an office website you ask us to import from, to suggest your team and locations, to write suggested questions and answers from its service, FAQ and visit pages and, after you pay, to copy staff bios and service descriptions from them for the intro video on your waiting room TV, and checks a kind of place you type, to suggest questions for it. Its models also check the translations of your office’s answers, and translate again any that fail that check.
  • Our translation model provider: its models translate your office’s answers into the languages you ordered, and check those translations.
  • Our voice provider: makes each voice, and reads in it each answer, its question, each person’s greeting and the short lines around them, such as "Thanks for listening." A greeting says the name visitors see and the person’s role, or words the office writes with that person’s permission. A designed voice comes from a written description. A person’s own voice comes from the recordings they chose to make.
  • Storypie: makes Lobbypie. Its answer engine drafts the answers, and its content delivery network sends the pictures, the audio and, on Plus, the videos to each screen.
  • Our payment provider: takes your office’s payment by card and keeps its billing details, such as the billing address and any tax ID. We never see the card number.

Where information is kept

Our servers, database and file storage are in the United States, as our privacy notice says. Making a Plus video can also run in our cloud hosting provider’s regions outside the United States.

Accessibility on our pages

On the office page

  • Kids only tap. There is no box to type in, anywhere on the page.
  • Audience choices, faces and questions use large buttons that are easy to tap on a phone.
  • The words of every answer are on screen while it plays, and in Read each word lights up as it is read.

On our website

  • Links, buttons and forms work with a keyboard and show where the focus is.
  • Every sample answer can show its words while it plays: on a video, turn on captions or open it full screen.
  • Videos that play by themselves on our pages are muted, can be paused, and never play by themselves when your device asks for less motion.

Questions about privacy and page controls

Do visitors need to identify themselves?

No. The office page asks for no visitor sign-in or name. Visitors choose a person and a question to hear or read.

Does the QR link identify a particular visitor?

No. The office shares the same page link with visitors. It contains no code for a particular family, patient or visit.

Does Lobbypie send appointment reminders?

No. Your office sends reminders from its own system and can include your page’s link. Do not send patient, client or family information to Lobbypie.

Who approves what visitors hear?

Your office reviews the words and recordings and approves them before sharing the page. Changed content needs the required review and approval before visitors hear it.

What if a staff member leaves or withdraws permission?

Your office must remove anyone who leaves from its page. A person who withdraws permission on their own link comes off the page right away. Removing them from the page and deleting stored files are separate steps under the voice and photo policy.

Are the answers personal advice?

No. The answers are for education. Visitors should ask the place’s own team about their situation and a qualified professional about their care or other professional advice.
